Your privacy matters.

This policy explains how I, Louisa Fern, collect, use, store and protect your personal information, including health information, when you visit this website, book a session, attend an event or work with me. I handle your information in line with the Australian Privacy Principles and the Health Records and Information Privacy Act 2002 (NSW).

What I collect

• Contact details such as your name, email, phone number and address.
• Booking and payment details when you book a session. Card payments are processed securely by my booking provider; I never see or store your full card number.
• Health and personal information you choose to share before or during sessions, and the session notes I keep.
• Messages you send through the contact form or chat on this website.
• Event bookings made through my ticketing provider.
• Photographs taken during a photography session, with your consent.

How I use it

I use your information only to provide and manage the services you’ve asked for: responding to enquiries, booking and running sessions and events, processing payments, keeping appropriate session records, and contacting you about your sessions. I won’t add you to a mailing list or use your information for marketing without your consent.

Confidentiality

What you share in sessions is confidential. I will only disclose your information with your consent, or where I am required or permitted by law, for example to prevent a serious threat to someone’s life, health or safety, or when compelled by a court. We’ll talk through these limits in your first session.

Storage and security

Client records and session notes are stored securely in Halaxy, an Australian practice-management platform, and are never kept on paper or shared devices. In line with NSW health records law, records are kept for at least seven years after your last session (or until age 25 for anyone who was under 18), then securely destroyed.

• Halaxy: bookings, payments, telehealth and client records.
• Humanitix: event ticketing.
• Web3Forms: delivers website messages to my inbox.
• Netlify: hosts this website.

Each provider handles information under its own privacy policy. Some may store data outside Australia.

This website

This site does not use advertising or tracking cookies. It remembers small preferences, such as whether you’ve closed a pop-up, only in your own browser for that visit. Fonts and animation code load from trusted providers, which can see your IP address as part of delivering them.

Photography

Images from your photography session are yours to keep. I will only share them publicly, such as on this website or Instagram, with your written permission.

Your rights

You can ask to see or correct the information I hold about you at any time. I’ll respond within 30 days.
